# Measure the knowledge gaps your team closes

## This guide shows workspace administrators how to track verified full coverage, retest original questions, and interpret retrieval and feedback metrics.

Use a fixed list of priority topics to show what your content work achieves. This is a simple review you maintain yourself, using the coverage information already available in On3.

### Start with a clear baseline

Choose one workspace and a short list of topics from **Open Topics**. Five is a practical starting point.

Record the review date, selected time window, category filters, topic names, and each topic’s **Count of conversations with un-answered questions**. Keep the original topic list for the next review, even if some topics disappear from the rolling window.

The conversation count helps you prioritize demand. Do not add counts from different topics and call the total unique conversations: the same conversation may relate to more than one topic.

### Add content and record the result

For each topic, note the content added, contributor, coverage status, and coverage strength. Keep four groups:

- **Verified Full:** On3 has checked the topic and reports full coverage
- **Verified Partial:** some of the topic has been covered
- **Pending or provisional:** a verified result is still needed
- **Still open:** the topic needs more work

A file upload, a completed processing job, or a topic appearing in Recently Covered should not be counted as verified full coverage on its own.

### Use one simple progress measure

Count how many topics from your original priority list now show **Covered (verified)** and **Full**. Divide by the number of topics in that original list.

**Illustrative example:** You began with five topics. Three now have verified full coverage, one has verified partial coverage, and one remains pending. Your original list is **60% fully covered**, with two topics still needing attention.

This example is not a measured customer result or an additional dashboard metric.

### Check whether the new answers are useful

Before adding content, choose representative questions from the priority topics. After processing and verification, ask the same questions in new Ask On3 conversations.

For each question, check:

1. Does the answer address the missing information?
2. Does the source reference open the expected content?
3. Does that source support the guidance given?

Record the result for the same question set each time. Keep this answer check separate from the automatic coverage status, so you can see both the system’s assessment and your review.

### Read the broader metrics in context

Open **Reports \> Ask On3 Metrics**. The **Overview**, **Content**, **Topics**, **Coverage**, and **Feedback** tabs help you look at different parts of the same activity.

Answered means that retrieval returned at least one library source. Unanswered means it returned none. These full-traffic rates do not measure answer accuracy or the percentage of knowledge gaps fully closed.

**Judged Coverage**, where shown, tells you how much traffic was assessed by the sampled review process. It is a separate measure and should not be used as a substitute for gap closure. Do not rely on Judged Coverage being present in an Excel export.

When comparing reporting periods, use the same workspace, filters, and period length. Record question volume too: a change in how much people ask, or which topics they ask about, can change the rates.

In **Coverage**, use **View Unanswered Questions by Topic** to inspect question and timestamp details. In **Content**, **View Detailed Table** shows content titles, media types, and **Reference Count**. References indicate that content was used; they do not prove that a gap was resolved.

### Navigate the reporting tabs

In **Ask On3 Metrics**, use **Overview** for summary and impact metrics, **Content** for source reference counts, **Topics** for requested topics, **Coverage** for answered and unanswered topic analysis, and **Feedback** for reactions and user feedback. If Topics or Coverage shows no data, record that limitation rather than treating it as evidence that gaps are closed.

Open **Reports \> Workspace Metrics** for adoption and library activity. **Usage** contains time and usage trends; **Leaderboards** separates user, Ask On3, and workspace-content tables; **Library** contains Library Metrics.

Open **Reports \> Content Metrics** for video and document engagement. **Overview** summarizes activity and the engagement journey; **Content Engagement** shows view rates and played hours; **Workspaces & Users** shows leaderboards; **Activity Details** provides activity and feedback tables. Content views and played hours indicate engagement, not verified gap closure.

Each report displays a **Download Excel** control beside the tabs. Some tables also offer **Download as CSV**. Select the period and filters before exporting, and keep them consistent for comparisons.

### Use feedback to choose what to review

Open **Feedback** to review **Likes** and **Needs Improvement** for the selected workspace and period. These reactions provide another reason to inspect an answer and its sources.

**Approval Rate** is likes divided by the total of likes plus needs-improvement reactions, expressed as a percentage. If there are no reactions, report the rate as unavailable. A displayed 0% in an empty chart does not mean 0% satisfaction.

### Report the outcome plainly

Use a short update such as:

“We reviewed the same five priority topics. Three now have verified full coverage, one has partial coverage, and one is still pending. We also retested the original questions and recorded which answers pointed to the new guidance.”

Replace the example numbers with your actual results. Avoid describing a smaller Open Topics list as proof of improvement: filters, rolling windows, and older activity leaving the window can also reduce the list.
